GLEON 19 All Hands' Meeting, 27 November  1 December 2017, Lake Mohonk, NY USA

The Mohonk Mountain House on the shores of Mohonk Lake in New Paltz, New York will be the site of the GLEON 19 All Hands’ Meeting, from 27 November to 1 December 2017.

GLEON 19 attendees are required to secure a reservation at the Mohonk Mountain House (MMH) with a credit card, unless you have been notified via email by the GLEON co-chairs that arrangements are being made for you (i.e., students receiving travel awards from the Cary Institute).

We have arranged a group rate for an inclusive meeting package beginning on Sunday, 26 November 2017 (check-in) through Friday, 1 December 2017 (check-out), so please plan your travel accordingly. If you are arriving before and/or departing after these dates, we recommend booking other accommodations near your arrival or depature airports.

MMH reservations can be made by calling +1 845-255-1000 (direct) or +1 844-587-7481. Please indicate that you are part of the “GLEON 19” group. MMH posted an Online Reservation Form for the convenience of international participants. Scroll down below the description to select a room. After adding it to your cart, you can specify single or double occupancy and dates.

If possible, please call to make your reservation. We are in the process of making more rooms available to our group via online reservations, so if you want to use the online form, please check back soon.**

Please note: the calendar feature on the online reservation page does not show our discounted group rate. Just ignore this and select (or update) your arrival and depature dates and then scroll down below the description to see the room availability. You can also modify the dates or select double occupancy once the room has been added to your shopping cart.

At the time of your reservation, you will need to provide your name, home or business address, email address, check-in and check-out dates, and pairings (name of roommate) for shared rooms. Any requests for special room arrangements, including accompanying family members or guests, or separate billing for two attendees sharing a room, should be made at the time of your reservation.

To secure a reservation, a deposit will be required equal to the first night at the inclusive meeting package rate (less 12% admin fee). The deposit is fully refundable to the individual if cancellation is received at least 14 days prior to scheduled arrival.

We recommend that you book your MMH reservations by the G19 meeting registration deadline 15 September 2017 to hold your space. MMH reservations after this date will depend on availability and should be made no later than 27 October 2017 (reservations made after this date will not be available at the group rate).

Guest accommodations will be available at 4:00 pm on arrival day and reserved until 1:00 pm on departure day. Requests for early arrivals and late departures must be arranged in advance through the Conference Planning Office at MMH. Fees may apply.

In addition to overnight accommodations, the rates for the inclusive meeting package for participants and their guests staying at MMH include three consecutive meals daily, beginning with dinner on the day of arrival through lunch on the day of departure. Please note that credit is not extended for missed meals. High speed internet access (wireless), most recreation activities, and valet parking are included in the meeting package for attendees and their guests. Meeting attendance and coffee breaks are also included in the package for attendees but not guests.

All attendees will be required to provide a valid credit card upon check-in at MMH on which an amount of sufficient pre-authorization can be obtained to cover the full meeting package charges for the length of the guest’s stay.

G19 meeting attendees and their guests will be expected to pay their own account upon departure. MMH reservations and payments will be handled only for those attendees who have been notified in writing via email and accepted a travel award from the Cary Institute that includes the inclusive meeting package. Cary-supported attendees will be required to settle their own bill for any additional charges and fees incurred during their stay at MMH. Attendees receiving travel awards from the University of Wisconsin Madison are required to make their own MMH reservations and settle their own account.

Please note that no food and/or beverage of any kind will be permitted to be brought into MMH by the GLEON 19 group or the group’s guests.
